Privacy Policy
Last updated: 8 July 2026
This policy explains how SkillVault Ltd (“SkillVault”, “we”, “us”) handles personal data when you visit skillvault.co.uk or contact us through this website. It applies to the marketing site and early access programme — not yet to a live SkillVault workforce app (a separate notice will apply when the product launches).
1. Who is responsible for your data?
The data controller is SkillVault Ltd, a company registered in England and Wales. For privacy questions or to exercise your rights, email us at marcin@skillvault.co.uk with the subject line “Privacy request”.
We do not currently appoint a Data Protection Officer. For general enquiries you may use the same address.
2. What personal data we collect
Depending on how you use the site, we may process:
| Source | Data |
|---|---|
| Early access form | Full name, company name, work email, job role, optional message, and the fact that you submitted the form (including timestamp). |
| Email contact | Whatever you choose to send us (e.g. investor deck requests, support questions). |
| Website use | Technical data such as IP address, browser type, device type and pages viewed. Our hosting provider may log this for security and performance. We do not currently run analytics or advertising trackers on this site. |
Please do not submit special category data (e.g. health information) or other people’s personal data through the early access form unless we have asked you to.
3. How we use your data and our lawful bases
UK GDPR requires a lawful basis for each use. We rely on the following:
| Purpose | Lawful basis (UK GDPR Art. 6) |
|---|---|
| Respond to early access requests, onboard pilot customers and send product launch updates you have asked for | Consent — you give this when you tick the consent box and submit the form. You may withdraw consent at any time. |
| Reply to direct emails (e.g. investor or partnership enquiries) | Legitimate interests — to respond to business enquiries and develop SkillVault, balanced against your rights. |
| Keep the website secure, debug issues and defend legal claims | Legitimate interests — to operate and protect our website and business. |
| Comply with law (e.g. respond to lawful requests from authorities) | Legal obligation |
We will not use your early access details for unrelated marketing, and we do not sell your personal data.
4. Who we share data with
We use trusted service providers who process data on our instructions:
- FormSubmit (formsubmit.co) — delivers early access form submissions to our inbox. FormSubmit may process data outside the UK; see section 5.
- Hosting / CDN provider — serves the static website and may process server logs. The provider depends on where we deploy (e.g. Cloudflare, Netlify, or our own server).
- Google Fonts — typography is loaded from Google’s servers when you visit the site; Google may receive your IP address. See section 6.
We may also disclose data if required by law, to protect our rights, or in connection with a merger or sale of the business (you would be notified where required).
5. International transfers
Some providers we use may store or process data outside the UK. Where they do, we ensure appropriate safeguards are in place — for example the UK International Data Transfer Agreement, UK Addendum to EU Standard Contractual Clauses, or an adequacy decision — as applicable. You may request more detail about safeguards by emailing marcin@skillvault.co.uk.
6. How long we keep your data
- Early access sign-ups: until you withdraw consent or ask us to delete your details, and no longer than 24 months after your last interaction with us if the product has not launched — whichever is sooner — unless we must keep records longer for legal reasons.
- Email correspondence: typically up to 6 years for business records, or shorter if no longer needed.
- Server logs: usually 30–90 days, depending on the host.
8. Your rights
Under UK data protection law you have the right to:
- access a copy of your personal data;
- rectify inaccurate data;
- erase your data in certain circumstances;
- restrict or object to processing in certain circumstances;
- data portability, where applicable;
- withdraw consent at any time (without affecting processing before withdrawal);
- lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.
To exercise any right, email marcin@skillvault.co.uk. We may need to verify your identity. We aim to respond within one month.
9. Security
We use appropriate technical and organisational measures to protect personal data, including HTTPS, access controls on our mailboxes, and choosing reputable processors. No method of transmission over the internet is completely secure.
10. Children
SkillVault is aimed at businesses and workers in construction. Our marketing site is not directed at children under 16, and we do not knowingly collect their data.
11. Changes to this policy
We may update this policy when our practices or the law change. The “Last updated” date at the top will change accordingly. Material changes to how we use early access data will be communicated where appropriate.
